This policy establishes general financial and administrative terms for Texas Rescue Med’s initial Emergency Medical Responder (EMR), Emergency Medical Technician (EMT), and Advanced Emergency Medical Technician (AEMT) education programs.
Card courses, continuing education, refresher programs, short courses, instructor development, and specialty training may have separate published payment, cancellation, and refund terms.

Week-based installments are measured against the student’s assigned program schedule. Actual calendar due dates are provided in the applicable enrollment or payment agreement. Approved discounts and individually negotiated arrangements are documented in writing.
Tuition and payment schedules may be revised for future enrollment periods through an approved policy update. A subsequent published price change does not automatically amend an existing student’s executed agreement.
Application Processing & Enrollment Deposits
Submission of an application does not automatically guarantee admission or reserve a course seat. Texas Rescue Med reviews applications according to applicable program eligibility and admissions requirements.
The $100 application fee is generally required before admissions review begins. Texas Rescue Med may issue an invoice after the application is submitted. If admission and seat availability are confirmed, the separate enrollment deposit is required to complete the applicable enrollment commitment.
The application fee and enrollment deposit are generally non-refundable after the applicable cancellation period, only when retention is permitted by law and the controlling enrollment terms. Mandatory cancellation and refund rights override any conflicting non-refundable designation.
Fees and deposits must be credited appropriately and must not be charged or deducted twice when calculating amounts owed or refunded.
Payment Plan Expectations
Students may pay their remaining tuition balance in full at any time without an early-payment penalty.
Payment plans must remain current according to the approved agreement and applicable due dates.
Nonpayment may lead to administrative holds, participation restrictions, withdrawal, or lawful collection activity, subject to applicable requirements.
Published tuition includes only the items specifically identified in the applicable course description or enrollment agreement.
Transportation, lodging, meals, uniforms, optional equipment, replacement materials, additional testing, and other personal expenses are separate unless specifically included in writing.
ENDING ENROLLMENT
Withdrawal & Administrative Withdrawal
A student may voluntarily withdraw from a Texas Rescue Med program by submitting official written notice to the Program Office through an authorized student communication channel.
Students should not rely solely on verbal communication or discontinuing participation as proof of an official voluntary withdrawal. Texas Rescue Med records the date written notice is received; however, any earlier or different withdrawal or refund-effective date required by law takes precedence.
Failure to submit official withdrawal notice may affect financial and academic obligations, subject to applicable law and the signed enrollment agreement.
Submit an Official Withdrawal Request
Complete the official Texas Rescue Med withdrawal form to initiate administrative review of your enrollment status and applicable financial obligations.
Texas Rescue Med may administratively withdraw a student under applicable program policies and procedures for reasons including:
Failure to meet academic, clinical, field, internship, or capstone requirements.
Violations of program policies, academic integrity standards, or professional conduct requirements.
Failure to maintain required certifications, immunization status, background clearance, drug-screening clearance, or clinical eligibility.
Nonpayment or failure to comply with an approved payment arrangement.
Extended absence, LMS inactivity, or nonparticipation without approved leave.
Unsafe conduct, patient safety concerns, or inability to continue required clinical or field placements.
Failure to satisfy applicable financial obligations required for continued participation or progression.
Administrative withdrawal does not automatically eliminate an outstanding balance or guarantee a refund. Financial reconciliation is governed by the applicable refund policy, enrollment agreement, and legal requirements.
CANCELLATIONS & FINANCIAL REFUNDS
Refund Schedule & Cancellation Rights
CANCELLATION PERIOD
Within 72 Hours After Signing an Enrollment Agreement
Under TRM’s general initial-program cancellation standard, a student who cancels within the applicable 72-hour period after signing an enrollment agreement receives a full refund of all money paid.
This period is calculated to exclude Saturdays, Sundays, and legal holidays under the published standard. Any greater or different mandatory right will be honored. Separate rules may apply to short-format programs.
BEFORE PROGRAM START
Before Course Access or Scheduled Instruction Begins
After the applicable cancellation period, Texas Rescue Med’s general policy provides a refund of amounts paid, less only those fees, deposits, third-party charges, or other expenses that may lawfully be retained under the applicable agreement and refund requirements.
EARLY WITHDRAWAL
Within the First 7 Calendar Days
Under TRM’s general schedule, a student who withdraws within seven calendar days after the earlier of course-access activation or the first scheduled course activity may receive 75% of refundable tuition paid, subject to lawfully permitted deductions and any greater refund required by law.
INTERMEDIATE WITHDRAWAL
Calendar Days 8 Through 14
Under TRM’s general schedule, a student who withdraws between calendar days eight and fourteen after the earlier of course-access activation or the first scheduled course activity may receive 50% of refundable tuition paid, subject to lawfully permitted deductions and any greater refund required by law.
LATER WITHDRAWAL
After Calendar Day 14
Under TRM’s general schedule, no discretionary tuition refund is ordinarily provided after day fourteen unless approved in writing, required by applicable law, or provided under the student’s governing enrollment agreement.
How Refunds Are Calculated
“Refundable tuition paid” refers to eligible tuition payments after applicable fees and expenses have been evaluated under the governing agreement and law. Amounts may be retained or deducted only when legally permissible.
Application fees, enrollment deposits, and third-party costs must be accounted for only once. Texas Rescue Med will not deduct the same charge twice when determining a refund.
The applicable withdrawal-effective date, student activity, completed instruction, charges paid, and mandatory legal standards are reviewed before the final refund amount is determined.
Refund Administration & Course Cancellation
Withdrawal-effective date: Texas Rescue Med records official written withdrawal notices. When applicable law requires a different effective termination date, including a last-attendance or inactivity-based determination, that legally required date controls.
Cancellation by Texas Rescue Med: If Texas Rescue Med cancels or discontinues a course and the student cannot complete the program, TRM will offer a lawful, suitable alternative only with the student’s agreement and will provide any refund required by applicable law or controlling written terms.
Refund processing: Approved refunds will be processed and documented within the period required by applicable law. Refunds are ordinarily issued through the original payment method when feasible.
Incidental student expenses: Transportation, meals, lodging, and other personal expenses are generally not reimbursed unless required by law or a controlling written agreement.
ACCOUNT RESPONSIBILITIES
Financial Responsibility & Course Access
Students remain responsible for tuition, fees, deposits, and other lawfully assessed charges under their enrollment agreements, approved payment plans, and applicable refund requirements.
If a student’s account becomes past due, Texas Rescue Med may limit or suspend access to course activities or other services following any required notice, but only when permitted by the governing agreement, program requirements, and applicable law.
Financial holds and administrative withdrawal for nonpayment are administrative actions. They do not independently change academic grades already earned.
However, failure to complete required educational activities because of a lawful financial hold or administrative withdrawal may affect course completion, clinical or field participation, graduation clearance, or certification-related education verification.
Withdrawal from one course or cohort does not automatically transfer enrollment, payment credits, tuition balances, or course access to another offering without written administrative approval.
Collections & Outstanding Balances
Students remain responsible for amounts lawfully owed under their signed enrollment agreements and applicable refund provisions. Withdrawal, dismissal, administrative withdrawal, or course completion does not automatically cancel a valid outstanding balance.
Account balances must be adjusted to reflect any required refunds, credits, or financial corrections before collection activity is initiated.
Delinquent accounts may be referred to a collection agency, attorney, or other lawful collection process. Returned payment fees, collection costs, attorney fees, or similar charges may be assessed only where permitted by applicable law and the student’s governing financial agreement.
Texas Rescue Med may impose lawful restrictions on completion-related documentation or administrative clearance for unresolved financial obligations only to the extent permitted by applicable education, recordkeeping, certification, consumer protection, and other legal requirements.
ADMINISTRATIVE REVIEW
Financial Appeals & Disputes
Students may submit written appeals concerning charges, payment disputes, refund decisions, financial holds, collection activity, withdrawal status, administrative withdrawal, or related administrative determinations.
Texas Rescue Med encourages students to submit an internal appeal within 15 calendar days after receiving notice of the decision. This internal timeframe does not shorten or waive any statutory refund, complaint, appeal, or other legal right.
Information Required for an Appeal
Student’s full name.
Program level and assigned cohort.
Decision, charge, or action being appealed.
Requested resolution.
Explanation of the basis for the appeal.
Supporting records or documentation, when available.
Appeals should be submitted to the Program Director or designated administrative representative through an official Texas Rescue Med communication channel. Administration will review the appeal and issue a written determination.
Submission of an appeal does not automatically suspend applicable payment obligations, academic deadlines, clinical requirements, field assignments, disciplinary action, or administrative withdrawal unless required by law or explicitly authorized in writing.
Students retain any independent rights to regulatory review, external complaints, appeals, or legal remedies under applicable law.
Card Courses, Continuing Education & Short Courses
American Heart Association card courses, continuing education, refresher training, specialty courses, EMS instructor development, and other short-format programs may have separate registration, cancellation, transfer, no-show, and refund requirements.
Students should review the specific course terms before submitting payment. Activated digital products, third-party licensing charges, examination fees, and similar expenses may be non-refundable only where properly disclosed and legally permitted.
A course-specific cancellation policy applies only to the extent permitted by governing law. Mandatory refund and consumer protection rights are not waived by separate course terms.
