TEXAS RESCUE MED | INSTITUTIONAL POLICIES

SMS / Email Communication Policy

How Texas Rescue Med communicates with students, applicants, clinical partners, and customers through email, text messaging, and other official communication channels.

Original Effective Date: June 2026

Understanding Our Communication Practices

Texas Rescue Med, LLC (“Texas Rescue Med,” “TRM,” “we,” “our,” or “us”) uses email, SMS/text messaging, telephone calls, voicemail, Learning Management System notifications, electronic forms, student portals, and other communication tools to support EMS education and related services.

This policy explains the types of communications we send, how consent and communication preferences are managed, how recipients may opt out of eligible communications, and the responsibilities associated with official educational and administrative notices.

Policy Statement

Texas Rescue Med uses electronic communication to provide timely and accurate information to prospective students, applicants, enrolled students, course participants, instructors, staff, clinical and field partners, agencies, and members of the public.

Individuals who submit inquiries, apply for courses, register for training, enroll in programs, create student accounts, or request services may receive communications reasonably related to those activities through appropriate contact channels.

Providing contact information is not, by itself, blanket authorization for all marketing calls, automated text messages, or other communications requiring separate consent. Texas Rescue Med will comply with applicable consent, consumer protection, privacy, and marketing requirements.

Scope of This Policy

This policy applies to communications sent or received through Texas Rescue Med’s official channels, including:

  • Email, SMS/text messages, phone calls, and voicemail.
  • LMS announcements and notifications.
  • Website inquiries, online forms, and course registration systems.
  • Student portals and account-management systems.
  • Payment, billing, and invoicing platforms.
  • Clinical and field scheduling systems.
  • Marketing and customer relationship management platforms.
  • Automated workflow and administrative communication systems.
  • Other designated TRM communication channels.

These standards apply, as appropriate, to students, applicants, instructors, employees, clinical partners, agency contacts, customers, website visitors, and individuals communicating with Texas Rescue Med.

COMMUNICATION CATEGORIES

Types of Communications

Texas Rescue Med communications generally fall into three categories. The purpose and content of each message determine the applicable consent and opt-out requirements.

01. Administrative & Transactional Communications

These communications relate to an individual’s existing inquiry, application, enrollment, course participation, account, payment, clinical eligibility, field placement, safety, compliance, or requested service.

View Examples of Administrative Communications
  • Application status, enrollment instructions, and registration confirmations.
  • Orientation instructions and Student Handbook acknowledgments.
  • Course schedule updates and LMS access information.
  • Assignment, examination, skills, and attendance reminders.
  • Clinical and field scheduling, onboarding, and documentation notices.
  • Background checks, drug screening, and immunization requirements.
  • Academic progression, remediation, and student success outreach.
  • Tuition, invoices, payment plans, refunds, withdrawals, and financial holds.
  • Completion verification and graduation clearance updates.
  • Responses to student questions and program-related requests.
  • Required regulatory, safety, and compliance notifications.

02. Marketing & Promotional Communications

These communications provide optional information about Texas Rescue Med courses, training events, educational opportunities, program announcements, newsletters, or promotions.

View Examples of Marketing Communications
  • New course and upcoming cohort announcements.
  • Continuing education and refresher opportunities.
  • Certification-card course promotions.
  • Special training events and program updates.
  • Newsletters and recruitment communications.
  • Agency training outreach and promotional campaigns.

03. Emergency, Safety & Time-Sensitive Communications

Communication may occur through any appropriate and legally permissible channel.

YOUR COMMUNICATION CHOICES

How to Stop or Manage Messages

Opting Out of SMS / Text Messages

Where TRM’s messaging platform supports reply-based opt-outs, recipients may reply:

STOP

Other recognized keywords may include UNSUBSCRIBE, CANCEL, END, QUIT, OPT OUT, or REVOKE, depending on the messaging platform and applicable rules.

If replying is not supported, follow the alternative opt-out instructions included in the message or contact Texas Rescue Med. TRM will process valid revocation requests in accordance with applicable law. Where a confirmation text is sent, it should only confirm the requested communication change.

If you stop receiving texts, you remain responsible for monitoring other designated official channels. TRM will not continue consent-dependent texts after a valid revocation except where separately authorized or otherwise permitted by law.

Opting Out of Marketing Emails

Recipients may unsubscribe using the link provided in an applicable marketing email or by contacting Texas Rescue Med.

Marketing email opt-out requests will be processed within the legally required timeframe, including the CAN-SPAM Act’s applicable 10-business-day limit.

Opting out of promotional email does not automatically eliminate necessary transactional communications, such as receipts, enrollment confirmations, existing account information, and program notices.

SMS Help & Communication Assistance

Where supported, recipients may reply HELP to a TRM text message for messaging assistance. Individuals may also contact TRM through its official contact channels to ask about communication preferences or report an opt-out issue.

Students who cannot use a particular communication method should contact the Program Office to discuss an available alternative. Some systems and clinical affiliates may have specific communication requirements.

Administrative Communications & Student Obligations

Students and applicants are responsible for reviewing official communications relevant to their enrollment, course access, academic progress, clinical and field assignments, payment obligations, safety, compliance, remediation, and program completion.

A marketing opt-out does not cancel a student’s enrollment, waive existing tuition obligations, excuse attendance, extend academic deadlines, or remove clinical or field requirements.

This provision does not eliminate an individual’s statutory right to withdraw consent to covered calls or texts. When a communication method can no longer lawfully be used, TRM may use another appropriate channel for necessary administrative information.

STUDENT & RECIPIENT RESPONSIBILITIES

Monitoring Official Communication Channels

Students must regularly review the communication channels designated for their program. These may include email, LMS announcements, student portals, course pages, clinical and field scheduling systems, payment notices, official forms, and text messages when authorized and used.

Failure to monitor official channels may result in missed educational or administrative requirements, including assignments, examinations, skills sessions, clinical shifts, field shifts, documentation deadlines, onboarding, and payments.

Students should notify program administration promptly when a communication problem interferes with their ability to participate. Applicable law, approved accommodations, authorized excusals, and program appeal procedures continue to apply.

Maintain Accurate Contact Information

Students, applicants, and course participants are responsible for keeping applicable contact information current, including:

  • Email address and mobile phone number.
  • Mailing address.
  • Emergency contact information.
  • Name or legal identification information when relevant.

Notify Texas Rescue Med promptly when contact information changes. Inaccurate or inactive information may prevent important messages from reaching the intended recipient.

Email Deliverability & Spam Filters

TRM emails may originate from authorized administrative, LMS, payment, student-support, or marketing systems.

Recipients should check spam, junk, promotions, and filtered folders when expected messages do not appear. Adding official TRM addresses to an email contact list may improve deliverability.

Email delivery may be affected by full mailboxes, employer firewalls, inactive accounts, blocking rules, technical failures, or other circumstances beyond TRM’s reasonable control.

Communication with Minors

Some Texas Rescue Med programs may permit enrollment by minors where authorized by law and program policy.

When appropriate and legally permitted, Texas Rescue Med may communicate with a parent or guardian regarding enrollment, payments, required consent, safety, attendance, conduct, and program completion.

Parent or guardian involvement does not eliminate the student’s own academic, professional, confidentiality, clinical eligibility, or course completion responsibilities.

CONFIDENTIALITY & INFORMATION SECURITY

Protecting Student & Patient Information

Texas Rescue Med expects students, instructors, staff, and other participants to use approved communication channels when discussing confidential educational, clinical, field, administrative, or financial matters.

Students must not transmit identifiable patient information, protected health information, or sensitive student records through unauthorized email, text messages, social media, public website forms, or unapproved messaging applications.

Examples of Information That Must Use an Approved Secure Channel
  • Patient names, birth dates, addresses, and medical record numbers.
  • EMS incident numbers or other patient-identifying details.
  • Patient photographs, videos, or identifiable clinical documentation.
  • Protected health information.
  • Confidential student records or preceptor evaluations.
  • Background check and drug screening records.
  • Immunization, medical, accommodation, or exemption documentation.
  • Other confidential information requiring restricted access.

Patient care documentation must be entered and maintained through authorized systems according to applicable TRM policies, clinical affiliate requirements, EMS agency requirements, and governing confidentiality standards.

HIPAA obligations depend on the applicable record, organization, and legal circumstances. Students must comply with the privacy and confidentiality requirements applicable to their assigned educational and clinical activities.

If confidential information is accidentally transmitted through an unapproved channel, the sender must promptly notify Texas Rescue Med and follow the applicable incident-reporting procedure.

Payment & Financial Communications

Texas Rescue Med may send payment-related communications through authorized email, telephone, SMS, student portals, or billing systems, where legally permitted.

These may include tuition and deposit confirmations, invoices, receipts, installment reminders, past-due notices, financial holds, refunds, withdrawals, and lawful collections communications.

Opting out of marketing does not eliminate valid contractual financial obligations. Students should use approved payment systems rather than transmitting payment card information or sensitive financial records through unsecured messages.

Clinical & Field Communications

Clinical and field education may require timely communication about site assignments, scheduling, onboarding, documentation, preceptor information, exposure reporting, attendance, cancellations, and completion requirements.

Students must monitor assigned clinical and field communication systems, respond appropriately to scheduling instructions, and report problems affecting participation. Applicable cancellation, documentation, attendance, and professional conduct requirements remain in effect.

ADDITIONAL COMMUNICATION STANDARDS

Operational Requirements & Limitations

The following provisions address electronic communications, platform operations, recordkeeping, professional behavior, and administrative expectations.

Automated Systems & Third-Party Communication Platforms

TRM may use authorized third-party systems for email, SMS, payment reminders, student records, LMS notifications, clinical scheduling, customer relationship management, and workflow automation.

These services may process contact details, communication history, consent records, delivery information, message engagement, and opt-out activity subject to applicable privacy, security, and service requirements.

Message Frequency

Message frequency may vary based on the recipient’s relationship with TRM, inquiry activity, academic schedule, assigned requirements, payment status, clinical or field participation, and communication preferences.

Marketing message frequency may vary with upcoming course openings, educational opportunities, and promotional campaigns, subject to applicable consent and opt-out requirements.

Communication Hours

TRM generally attempts to send routine administrative communications during reasonable business hours when practical.

Urgent class, clinical, field, operational, or safety notices may be communicated outside normal business hours through appropriate, legally permitted channels.

Communication Recordkeeping

Texas Rescue Med may retain communication records for legitimate educational, administrative, financial, legal, regulatory, student support, and operational purposes.

These may include:

  • Email and text message records.
  • Telephone and voicemail logs.
  • LMS and student portal notifications.
  • Online form submissions.
  • Consent, opt-in, and opt-out records.
  • Delivery and engagement information.
  • Student support, billing, and clinical scheduling communications.

Records may be maintained in approved student, administrative, payment, LMS, communications, marketing, or related systems according to applicable retention and privacy requirements.

Prohibited Use of TRM Communication Channels

Students, applicants, and other participants may not use TRM communication channels to:

  • Harass, threaten, intimidate, or abuse another person.
  • Submit false, fraudulent, or misleading information.
  • Disclose patient information or confidential records through unauthorized channels.
  • Disrupt course or administrative operations.
  • Impersonate another person or misrepresent authorization.
  • Transmit spam, malware, phishing messages, or harmful content.
  • Circumvent authorized access controls or institutional policies.
  • Share restricted examination questions, answer keys, or proprietary materials.
  • Use institutional systems for unauthorized commercial, political, or personal purposes.

Violations may result in restricted system access, disciplinary review, administrative action, or other consequences permitted under applicable TRM policies and law.

Communication Boundaries & Response Times

Texas Rescue Med strives to respond to student and customer communications in a timely manner. Response times may vary due to staffing, scheduled instruction, clinical operations, field operations, weekends, holidays, emergencies, or administrative workload.

Students should use the appropriate official channel and identify their name, program, cohort, issue, and requested action.

Staff, instructors, and administrators are generally not expected to respond to non-urgent communications outside established business hours. Urgent safety and operational matters should be reported through the designated channels.

No Guarantee of Electronic Delivery

Texas Rescue Med cannot guarantee that every email, text message, telephone call, voicemail, LMS notification, or automated communication will be delivered, received, opened, or read.

Delivery may be affected by inaccurate contact information, spam filters, carrier blocking, consent or opt-out status, device settings, inactive accounts, internet interruptions, platform errors, and third-party service disruptions.

Students should monitor designated official systems and report access or delivery problems promptly. This notice does not waive applicable legal notice requirements or other rights protected by law.

Relationship to Other Texas Rescue Med Policies

This policy should be reviewed together with the Student Handbook, Program Disclosures, Privacy Policy, Terms of Use, Refund and Cancellation Policy, Accessibility and Accommodation Policy, Complaint, Grievance and Appeals Policy, Clinical Eligibility Policy, HIPAA / Confidentiality Policy, applicable course syllabus, enrollment agreement, and clinical or field site requirements.

More specific written requirements may apply to particular courses, communication platforms, enrollment agreements, clinical affiliations, or administrative processes. Applicable law and regulatory requirements take precedence over conflicting institutional terms.
